Description

As part of the Family Law Department, the Senior Legal Executive supports the lawyers in the management and administration of legal matters, ensuring smooth case progression, accurate documentation, and timely coordination with clients, courts, and external stakeholders.

The role requires strong organisational skills, attention to detail, discretion, and the ability to manage multiple matters efficiently in a fast-paced legal environment. The Senior Legal Executive is expected to take ownership of assigned matters, anticipate follow-up requirements, and proactively support the lawyers to ensure matters progress smoothly and efficiently.

Main Duties & Responsibilities

  • Assist lawyers with the preparation, drafting, formatting, and filing of legal documents and correspondence.

  • Manage and maintain physical and electronic case files, ensuring accurate, complete, and up-to-date documentation and records.

  • Take ownership of assigned administrative and procedural aspects of matters, ensuring that follow-ups, deadlines, and outstanding actions are proactively tracked and addressed.

  • Liaise with clients, courts, opposing counsel, and external stakeholders on administrative and procedural matters.

  • Coordinate court filings, hearings, mediation sessions, appointments, and other case-related arrangements.

  • Monitor case timelines, deadlines, and hearing dates, ensuring timely follow-up and compliance with procedural requirements.

  • Proactively flag upcoming deadlines, outstanding documentation, and other matters requiring the lawyers’ attention.

  • Prepare bundles, affidavits, chronologies, and other supporting materials for court proceedings.

  • Assist with billing administration, disbursement tracking, and file closing procedures.

  • Conduct legal and factual research as required.

  • Provide administrative and operational support to the legal team as assigned.

Key Performance Indicators

  • Accuracy, completeness, and timeliness of legal documentation and filings.

  • Effective organisation and maintenance of case files and records.

  • Timely compliance with court deadlines and procedural requirements.

  • Demonstrated ownership of assigned matters, with proactive follow-up and minimal prompting.

  • Ability to anticipate administrative and procedural requirements and flag issues or upcoming actions in a timely manner.

  • Responsiveness, professionalism, and effectiveness in client and stakeholder communications.

  • Ability to manage multiple matters efficiently and independently, with minimal supervision.

  • Timely and accurate billing, disbursement, and other administrative support for assigned matters.

Job Requirements

  • Diploma or Degree in Law, Legal Studies, Business Administration, or a related discipline preferred.

  • More than 5 years of experience in a legal executive role, preferably supporting family law practitioners.

  • Familiarity with litigation processes and court filing procedures.

  • Strong verbal and written communication skills.

  • Highly organised, with strong attention to detail and the ability to manage multiple matters concurrently.

  • Proactive and resourceful, with the ability to take ownership of assigned matters and work independently.

  • Proficient in Microsoft Office applications and legal case management systems.

  • Able to handle confidential information with a high degree of discretion and professionalism.
